eBay keeps overselling stock you don't have

An oversell on eBay is triple damage: the refund, the angry buyer, and a transaction defect that erodes your seller standing — lose enough and you lose Promoted Listings eligibility or Top Rated status. If your Shopify↔eBay sync keeps letting it happen, here's the diagnosis path.

Find the drifted listings first

  1. In eBay Seller Hub → Listings → Active, export to CSV (SKU + available quantity).
  2. In Shopify, export products with inventory quantities.
  3. Match on SKU. Every row where eBay qty > Shopify qty is a live oversell risk — fix those listings by hand, today, before touching the sync app.

Why sync apps oversell silently

Protect your metrics while you fix it

If an oversell already happened: cancelling with reason "out of stock" is what creates the defect — contacting the buyer first so they cancel, or fulfilling from anywhere at almost any cost, is usually cheaper than the metric damage. Then reconcile the full export above rather than trusting the app's dashboard.

The uncomfortable truth: your sync app's dashboard is the last place its failure shows up — reporting its own failure indicts its own product. An independent check (the CSV match above) is the only view with no conflict of interest.

Make the check automatic

The CSV reconcile takes 20 minutes, and most sellers only do it after being burned. Doing it daily is the difference between catching drift in hours and eating defects for weeks.

Or let ShelfVitals watch it for you

ShelfVitals is a read-only auditor: it continuously compares your marketplace listings against your actual Shopify inventory — quantities, prices, listing status, order imports — and alerts you the moment anything drifts. It syncs nothing and changes nothing; it just refuses to take your sync app's word for it.
