eBay keeps overselling stock you don't have
An oversell on eBay is triple damage: the refund, the angry buyer, and a transaction defect that erodes your seller standing — lose enough and you lose Promoted Listings eligibility or Top Rated status. If your Shopify↔eBay sync keeps letting it happen, here's the diagnosis path.
Find the drifted listings first
- In eBay Seller Hub → Listings → Active, export to CSV (SKU + available quantity).
- In Shopify, export products with inventory quantities.
- Match on SKU. Every row where
eBay qty > Shopify qtyis a live oversell risk — fix those listings by hand, today, before touching the sync app.
Why sync apps oversell silently
- Missed inventory webhooks. Most connectors update eBay when Shopify fires an inventory-change event. Miss one (app downtime, rate limits, a platform hiccup) and that SKU is stale forever — unless the app runs full reconciliation sweeps. Many don't.
- Revise-listing failures. The app sends the update; eBay rejects it (listing under offer, category rule, API error); the app doesn't retry or surface it. Its log says "sent," eBay still shows 4.
- Out-of-stock control masking zeroes. eBay's out-of-stock setting keeps listings alive at quantity 0 — a good feature that, combined with a partial sync, can leave the displayed quantity stale.
- Restock races. Restocking in Shopify while the app is mid-sync can re-push the pre-restock state; several popular connectors' review pages are full of exactly this.
- Duplicate or orphaned listings. Relisted items and eBay-side edits break SKU mapping; the orphan keeps selling against a number nobody updates.
Protect your metrics while you fix it
If an oversell already happened: cancelling with reason "out of stock" is what creates the defect — contacting the buyer first so they cancel, or fulfilling from anywhere at almost any cost, is usually cheaper than the metric damage. Then reconcile the full export above rather than trusting the app's dashboard.
