Shopify & Etsy inventory not syncing? Diagnose it in 15 minutes

The nasty thing about a broken Shopify↔Etsy sync is that nothing announces it. The connector app still says "connected," Etsy keeps selling, and you find out from an order you can't fulfill. Here's a fast way to establish what's actually broken, the usual causes, and how to stop being the last to know.

Step 1: Spot-check five SKUs by hand

  1. Pick five products you sell on both channels — include your two best sellers (they drift most, because they change most).
  2. Open each in Shopify admin (actual available quantity) and on Etsy (listing quantity). Write both numbers down.
  3. Any mismatch on current stock = live drift. Etsy higher than Shopify = oversell risk right now. Etsy lower = you're silently underselling.

Step 2: Check the order pipeline, not just inventory

Inventory drift and order-import failure are different breaks with different fixes. In Etsy: Shop Manager → Orders. In Shopify: Orders (filtered to your Etsy integration's channel or tag). Every recent Etsy order should exist in Shopify within minutes. Missing orders mean the import leg is down — which also silently breaks any fulfillment automation (Printify and similar) hanging off Shopify.

The usual causes, in order of likelihood

Rule of thumb: the damage isn't the break, it's the time to discovery. A sync that broke this morning costs an apology. A sync that broke two weeks ago costs refunds, Etsy customer-service stats, and review damage.
